- **What it connects to**: Accounting software, payment gateways, email, messaging, your website or anything else it must exchange data with, and whether those systems allow it.
- **Hosting and running costs**: Where the system will run, how it is backed up and secured, and what it will cost each month to keep running, known before you commit.
- **Acceptance and schedule**: The cases each part must handle before it counts as done, the dates for each stage, and who signs off, all agreed before work starts.

## How does a custom software project run?

1. **Discovery**: Time with the people who do the work, in person or on a call, collecting the forms, spreadsheets, reports and messages the process runs on today.
2. **Written scope and quote**: A document listing the screens, users, data, rules and connections, with what is in the first version and what waits. You approve it, with the quote and schedule.
3. **Screen designs**: The main screens designed in Figma and clicked through with the people who will use them, so layout and wording are settled before code.
4. **Build in stages**: The system built a part at a time and shown to you on a test link with sample data, so problems surface early instead of at the end.
5. **Testing on real cases**: Each part checked against the agreed cases, then tried by your team on real examples. Existing records are moved in and checked with you.
6. **Launch and training**: The system goes live and each kind of user is trained. The old way is retired once the new one is trusted, and the code and every login are handed over.
7. **Next version**: Once the system is in use, your team's requests are collected and the next version is planned and quoted the same way. Day-to-day support is a separate service.
